Dear Club Convenors,

The Winter League will commence on 13 September, 2025.  Please find attached the official letter of invitation for the HockeyHKWS 2025/26 Winter League.

Kindly note the following:

1. Team Fees

There shall be a $450 increase in administrative fee per team (3.9%), amounting to $12,000 per team. The details are reflected in the Letter of Invitation.

2. Player Registration

To ensure that details of registered players could be recorded and shown correctly on their respective team lists in time, please upload all player details and related documents (including photos) onto the HockeyHKWS player database before 5pm on Wednesday, 20 August 2025.

Returning Players:

Club convenors must ensure for their records that the email address provided for each currently registered player is correct and valid.

New Players:

New players should use this link to submit their registration with affiliated clubs to enter into the women's winter league: http://www.hockey.org.hk/WomenRegistration.asp

Once the player submits the form, an email notification will be sent to the club convenor. The convenor must then log on to the system, check the details, assign the team and shirt number and submit the registration to the HockeyHK through the system. Please double check if the player details are correct and please make sure the player photos are forward-facing, high resolution and passport-sized.

Players Aged below 18:

All U18 players are required to re-register on the system and convenors must complete the new registration form (attached, will also be available on the system later with a print button provided) for the player's parent/guardian signature and then upload a copy of the signed form to the system before 5pm on Wednesday, 20 August 2025. Additionally, a convenor’s declaration form is also needed which could be found at http://www.hockey.org.hk/Content.asp?Uid=171

Player Transfer:

The player shall make her intention to transfer clearly known to her current Affiliated Club, whose Convenor shall release the player in the online registration system. The Convenor for the Affiliated Club that the player is moving to should then apply to the HockeyHK of the transfer by email to garychung@hockey.org.hk. If all the information such as new club team and jersey number are in order, the transfer will be processed accordingly. In order to streamline the process, Player Transfer Forms are no longer needed.

Individual Player Declarations:

All players are required to complete a declaration form (Google Form) to confirm their consent for participation in Women’s League before 5pm on Wednesday, 20 August 2025. The submission of the declaration form is MANDATORY and player registration will only be confirmed upon completion of the declaration form. We have created a dedicated Google Forms for each club (see separate PDF file and also refer to the Resources link below) so that you can copy and paste the link for sending to your players.

No Play Dates
Given the closure of King's Park and our goal to play two full rounds, we regret that we will be unable to accommodate any "no play dates" from the clubs this season. Should you have any difficulties, you may consider requesting postponement of matches. Postponement will be handled in accordance with Competition Byelaws 11.9 and 11.10.

The Convenor's Meeting is scheduled on 13 August 2025 at 19:30 in King’s Park. We look forward to seeing you then.

Kind Regards,

HockeyHKWS
